Privacy Policy

This policy explains how Nashville Tech Builders (“we,” “us,” or “our”) collects, uses, and shares personal information when you visit this website, create an account, or take part in our community and nonprofit programs — events, hackathons, mentorship, volunteering, newsletters, and the member portal. This site runs on the lucoly platform, a program of Nashville Tech Builders, a 501(c)(3) nonprofit organization; sign-in and account identity are handled by the platform’s shared authentication service.
1. Information we collect
Account and profile information
- Account: your name, email address, and profile image, whether you sign up with an email code or through a third-party sign-in provider. When you use a sign-in provider, we receive your verified email, name, and profile image from that provider — never your password.
- Member profile: information you choose to add, such as a bio, skills, interests, languages, what you’re learning or building, availability (for example, open to mentoring or work opportunities), social and portfolio links, and organization details.
- Community connections: the groups you join or bookmark, and your chat user ID if you connect your account to our community chat workspace.
Participation information
- Events and tickets: registrations, attendee name and email on tickets, check-in scans at the door, waiver acceptances, and — for paid events — payment records processed by our payment provider (we store transaction identifiers and amounts, not your card number).
- Hackathons and badges: hackathon registrations, team and project assignments, judging scores entered by judges, and digital credentials (Open Badges) issued to your name and email.
- Forms and surveys: whatever you submit in forms we publish. Some forms are configured to anonymize responses; those strip your identity from the stored submission.
- Job tracker: if you use the job-tracker feature, the applications, companies, notes, and reminders you record. This data is private to your account and is not shared with other members.
- Content you post: posts, comments, project pages, and images you upload.
Communications information
- Subscriptions: your email preferences (newsletters, notifications, digests) and verification status.
- Email engagement: when we send newsletters, we record delivery results and use a tracking pixel to record opens, which captures your email address, IP address, and browser user-agent. This helps us understand what content the community finds useful.
Usage information
- Sign-in security data: our authentication service keeps session records, which include IP address and browser user-agent, to secure your account.
- Analytics (with your consent): if you accept cookies, we collect pageviews, session data, device/browser information, IP address, and approximate location (city/country) through analytics tools. We also use developer tracking tools for error reporting, which may capture error details and limited session replays to help us fix bugs.
2. How we use your information
- to operate your account, the member portal, and this website;
- to run our programs: event registration and check-in, ticketing, hackathon judging, badge issuance, volunteer matching, and forms;
- to send communications you've signed up for, plus transactional messages like sign-in codes and receipts;
- to understand how the site and our programs are used so we can improve them and report on our nonprofit's impact;
- to keep the community safe: preventing spam and fraud, enforcing our terms and codes of conduct, and securing accounts;
- to comply with legal obligations.
We do not sell your personal information.
3. Cookies and analytics choices
We use a session cookie to keep you signed in; it is essential and always active. Analytics and error-reporting tools run only if you choose “Accept” in the cookie preferences banner. If you reject, analytics identifiers are removed and those tools stay off. Security and fraud-prevention measures cannot be opted out of. Your choice is stored in your browser and you can change it by clearing site data.
4. How we share information
We share personal information only with service providers that help us operate, and only what each needs:
- Cloud infrastructure providers: email delivery for sign-in codes, newsletters, and tickets; file and image storage for uploads such as profile photos and event images; and, if AI features are enabled, AI model hosting.
- Payment processor: payment processing for tickets and donations. The processor receives your email and payment details and acts under its own privacy policy.
- Sign-in providers: only if you choose to sign in with one.
- Community chat: if the community runs a chat integration, your chat user ID is linked to your membership for community notifications.
- AI model providers: if you use AI features, your prompts are processed by the configured AI provider.
- Anti-abuse verification: some forms use a verification service to prevent abuse; it receives the verification token and related signals.
- Error monitoring: error reports and limited session replays, only with cookie consent.
- Geocoding: we look up event venue addresses (not your personal information) to show event maps.
- External event platforms: we import event listings from external platforms; if you RSVP there, your interaction is governed by their privacy policies.
Because each community site on the lucoly network configures its own integrations, the exact set of providers active for this site may vary. We may also disclose information if required by law, to protect the safety of members, or as part of a reorganization of our nonprofit (with notice to you).
5. What other people can see
- Your member profile is visible to others only if you turn on the public-profile option; you control what it contains.
- Posts, comments, and project pages you publish are visible to their intended audience (the community or the public, depending on the feature).
- Digital credentials (Open Badges) are designed to be verifiable by third parties you share them with.
6. Data retention and deletion
We keep personal information while your account is active or as needed for the purposes above. You can delete your account from your settings or by contacting us: this removes your member profile on this site, and once you have no membership on any site in the network, your sign-in identity is deleted from the shared authentication service as well. Some records are kept where required (for example, payment records for financial and tax compliance) and some are purged automatically on a schedule (for example, deleted files are permanently removed after 28 days and expired verification codes are purged automatically).
7. Your choices and rights
- Email: every marketing email includes an unsubscribe link, and a preferences page lets you choose which kinds of email you receive. Unsubscribing from everything takes one click.
- Profile: you can edit your profile and its visibility at any time.
- Analytics: you can reject analytics cookies in the consent banner.
- Access, correction, deletion: you may request a copy of your personal information, ask us to correct it, or ask us to delete it by contacting us at the address below. We will respond within a reasonable time and in accordance with applicable law.
8. Security
We use reasonable technical and organizational safeguards: passwordless sign-in (no passwords for us to lose), HTTP-only session cookies, encrypted connections, and access limited to the volunteers and operators who need it. No system is perfectly secure, so please keep access to your email account safe — it is the key to your account here.
9. Children
The Site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has created an account, contact us and we will delete it.
10. Where data is processed
We are based in the United States and our service providers process data in the United States. If you access the Site from elsewhere, you understand your information will be transferred to and processed in the U.S.
11. Changes to this policy
We may update this policy from time to time. When we make material changes we will update the effective date above and take reasonable steps to notify you, such as a notice on the Site or an email.
